Position Overview

As we continue to grow, we are seeking a dedicated and highly organized Service Administrator / Inside Sales Representative to join our team and help us maintain our high standards of service. This role will be responsible for supporting the needs of our administration and customer base.  Responsibilities may include compiling lists for new business opportunities, nurturing leads, typing quotations, completing client-requested supporting documentation, and creating reports.  This role requires high communication skills, a proactive approach, and the ability to work collaboratively within a fast-paced environment. The ideal candidate will be customer-focused, high attention to detail, and strong time-management.

This position is for our service division which is responsible for servicing, maintaining, and replacing HVAC and plumbing systems and equipment in buildings such as K-12 schools, hospitals and associated healthcare buildings, high-rise buildings, and other commercial building types.

Key Responsibilities

  • Customer Service Management: Handle customer inquiries, service requests, and complaints with professionalism and empathy. Ensure timely resolution of issues and follow up to guarantee customer satisfaction.
  • Customer Relationship Management: Help support our sales and service administrative team in maintaining strong relationships with existing clients, understanding their needs and offering solutions to meet those needs.
  • Marketing/Presentations: Bringing a creative mindset to help with any marketing/presentations/reports that may be requested.
  • Order Processing: Managing set-up documentation when the team closes a sale, ensuring a smooth transition to dispatch and operations and accurate order processing.
  • Performance Tracking: Track and report on various metrics and initiatives.
  • Collaboration: Work closely with the sales team and service administrators to ensure a cohesive approach for day-to-day operations, and customer satisfaction.
  • Prospecting: Exporting reports through employer-provided software.  Identify and reach out to potential clients through various channels (phone calls, emails, social media).
  • Process Improvement: Identify opportunities for improving service processes and contribute to the development of best practices to enhance operational efficiency.
  • Data Management: Enter and update service information in the company’s CRM or service management system. Ensure data accuracy and confidentiality.
  • Document Management: Prepare, organize, and maintain documentation related to projects, technical specifications, and maintenance records.
  • Office Administration:  help support general office needs, including maintaining supplies and ordering of any supporting materials.

Requirements

  • Excellent verbal and written communication skills.
  • Proficient in utilizing Microsoft Excel, Word, Outlook.
  • Ability to learn and work within our service software systems.
  • Strong problem-solving skills.
  • High level organization and attention to detail.

  • Teamwork and relationship-building.
  • Ability to answer a high volume of calls and/or emails daily.

Salary & Benefits

  • Salary Range: $35,000-$45,000 annually.
